Multi-store & locations
Manage multiple store locations in one workspace, with per-location inventory, POS, and consolidated reporting.
Multi-store & locations lets you run all your physical and online selling points from a single Retailos workspace — each with its own inventory and POS, while your reports roll up across every location automatically.
How it works
Retailos organises your business around locations. The number of locations available depends on your plan:
- Starter — 1 location
- Growth — up to 3 locations
- Pro — unlimited locations
Each location operates independently for stock and billing at the counter, but Retailos consolidates data so you always have a single view of the whole business.
- Go to
Settings > Locationsto see your active locations. - To add a new location, select Add location and fill in the location name and address details.
- Once a location is created, inventory is tracked separately for that location. Receive stock, make adjustments, and run stock counts at
Inventory > [select location]without affecting your other stores. - Your POS at each location is tied to that location's stock. When a sale is made, only that location's inventory is decremented.
- Head to
Reportsto view performance across all locations together, or filter down to a single location using the location selector at the top of any report.
Setting up staff access by location
You can limit which locations a staff member can see and operate in.
- Go to
Settings > Staff & Roles. - Open the staff member's profile or create a new one.
- Under their role settings, assign the location or locations they should have access to.
- Staff will only see inventory, POS, and orders for their assigned locations. They will not have visibility into other locations' data.
This is useful when you have store managers who should only handle their own outlet, or part-time staff at a single location.
Good to know
- Shopify sync is per-workspace, not per-location. Retailos syncs inventory and orders with Shopify two-way at the workspace level. Map your Shopify locations to the corresponding Retailos locations during setup to keep stock counts accurate.
- Consolidated reporting is automatic. You do not need to do anything extra to see cross-location reports — they update in real time as sales and stock movements happen.
- Plan limits apply to active locations. If you are on Growth and already have 3 locations, you will need to upgrade to Pro before adding a fourth.
- Roles are additive. A staff member can be assigned to more than one location if needed, without changing their permission level.
Troubleshooting
- Stock at the wrong location after a Shopify order: Check that your Shopify locations are correctly mapped to your Retailos locations under
Settings > Locations. A mismatch here is the most common cause of inventory going to the wrong place. - Staff member can't see a location: Confirm the location has been added to their profile under
Settings > Staff & Roles. Changes take effect as soon as you save. - Reports showing incomplete data: Make sure you have not applied a location filter unintentionally. Clear any active filters at the top of the
Reportspage to see all locations.
